Scheduling & dispatch

Crew scheduling software for subcontractors

A dispatch board showing every crew, every job and every open day, then a button that actually tells the crew where to be, and flags the job when the plan changes afterwards.

The crew schedule board with jobs spanning days by crew

The calendar is the output. It is not the schedule.

Most shops schedule in somebody's head, confirm it by text, and then discover on Tuesday morning that two crews were promised the same day. The calendar shows what was booked; it does not show who is free, who is double-booked, or whether the crew has been told about the change you made yesterday.

What you get

What it does

  • A board per trade, with spanning jobs

Multi-day work draws as a bar across the days it occupies, in lanes, with per-day capacity and double bookings flagged in red: flagged, never blocked. Sometimes you really are sending two crews.

  • The open-slot finder

"Can we take this job on the ninth?" answered from the board. Deliberately conservative: any booked day counts as busy.

  • Telling the crew is a button

One composed message, three ways to send: a text or email compose link that needs no setup, a real send through your own accounts, or "mark as told" for the phone call you already made.

  • Stale plans are visible

Move the dates or the crew after they were told and the job reads stale on the worklist. The stamp records the plan they were given, not just that a message went out.

  • The crew sees their own week

Today and tomorrow as cards, teammates, and tap-to-navigate addresses, on a phone, in English or Spanish, since most field crews in this market read Spanish first.

  • Utilisation and capacity

Crew utilisation, booked work against capacity six weeks out with unassigned demand counted, and dollars on the board by crew.

How it works

Start to finish

  1. 1

    Build the roster

A crew is a name and a trade; a member is a name and a mobile number. Most crew members never need a login.

  2. 2

    Assign work to a crew

One crew owns a job for its whole span. A job needing two crews is two jobs, deliberately: a half-assigned job is how a day gets dropped.

  3. 3

    Tell them, and stamp it

Whichever way you send, the job records what plan the crew was given.

  4. 4

    Work the attention list

Jobs with no crew, crews not yet told, and plans that changed after they were told, soonest first.

Assignment is logistics, never money

Assigning a crew touches nothing financial and nothing about job stage. It is one pointer on the job, written through the same permission rules as any other job edit, and the whole board is computed when you open it from the same dates the calendar sync already follows.

That constraint is why the scheduling layer can be turned on without changing a single number anywhere else in the system.

Google Calendar stays in sync in both directions if you want it to, with one deliberate limit: an edit made in Google can move a job's dates and nothing else. Status, money, customers and documents are never written from a calendar.

Common questions

No. A name and a mobile number is a complete crew member. If you want them to see their own week and clock in, there is a restricted crew seat for that, but it is optional.
